The obligation of information referring to candidates and students mentioned in Art. 13(1,2) of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation):
1. Data controller of candidates’ personal data is University of Bialystok, ul. Świerkowa 20 B, 15-328 Bialystok, tel. 85 745 70 00, e-mail: uniwersytet@uwb.edu.pl.
2. Data controller has designated Data Protection Officer (DPO) responsible for the proper processing of personal data, who can be contacted via email: iod@uwb.edu.pl or by mail sent to: ul. Świerkowa 20 B, 15-328 Bialystok.
3. Candidates’ personal data are processed for the purpose of the study recruitment process at the University of Bialystok on the legal grounds resulting from:
Art. 6(1)(a) of the General Data Protection Regulation, i.e. explicit, unambiguous and voluntary consent of a candidate to process his personal data in the form of a telephone number for contact purposes;
Art. 6(1)(b) of the General Data Protection Regulation, i.e. processing is necessary for the performance of a contract to which the data subject is party in order to take steps at the request of the data subject prior to entering into a contract;
Art. 6(1)(c) of the General Data Protection Regulation, i.e. processing is necessary for compliance with a legal obligation to which the controller is subject;
Art. 6(1)(e) of the General Data Protection Regulation, i.e. processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller;
Art. 9(2)(a) of the General Data Protection Regulation, i.e. the data subject has given explicit consent to the processing of personal data for more specified purposes in the form of their health condition to create conditions for people with disabilities to participate fully in the admission process to the higher education institution for the purpose of education.
4. If a candidate has been admitted to the chosen study, candidates’ personal data are processed in order to document the course of study, for contact purposes, for statutory, archival and statistical purposes as well as to establish, pursue and defend claims in the situations envisaged by the law on the legal grounds resulting from:
Art. 6(1)(a) of the General Data Protection Regulation, i.e. explicit, unambiguous and voluntary consent of a candidate to process his personal data in the form of a telephone number for contact purposes;
Art. 6(1)(b) of the General Data Protection Regulation, i.e. processing is necessary for the performance of a contract to which the data subject is party in order to take steps at the request of the data subject prior to entering into a contract;
Art. 6(1)(c) of the General Data Protection Regulation, i.e. processing is necessary for compliance with a legal obligation to which the controller is subject;
Art. 6(1)(e) of the General Data Protection Regulation, i.e. processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller;
Art. 9(2)(a) of the General Data Protection Regulation, i.e the data subject has given explicit consent to the processing of personal data for more specified purposes in the form of their health condition to create conditions for people with disabilities to participate fully in the admission process to the higher education institution for the purpose of education.
5. Providing personal data during the study recruitment process is voluntary but necessary to carry out the recruitment procedure. Failure to provide these data may impede or prevent the study recruitment process. If a candidate is admitted to the chosen study, personal data must be provided to the extent the obligation to process them by the controller results from the law, or when it is necessary for a proper course of study; providing personal data in other respects is voluntary.
6. Data will not be transferred to third countries or international organizations.
7. Data may be transferred to entities providing IT services to the University of Bialystok as well as in situations envisaged by the law.
8. Data entered by candidates to the system of Internet Recruitment of Candidates will be stored in the system for the duration of recruitment procedure and for a year following its completion. Due to the archive category held by the University of Bialystok resulting from the Regulation No. 74 of University of Bialystok Rector of 12 October, 2021 on Implementing University of Bialystok’s Chancellery Guideline and Guideline on the Operation and Organization of University of Bialystok’s Archive, the minutes and reports of the University Recruitment Committee will be stored for an unlimited period of time.
9. If a candidate has been admitted to the chosen study, their personal data will be transferred to the USOS system and stored for 50 years whereas paper data submitted by a student will be kept in his files and stored for 50 years pursuant to the Regulation of Minister of Science and Higher Education of 27 September, 2018 on studies.
10.Candidates and students have the right to access their personal data, rectify or erase them, restrict data processing and portability as well as object to data processing.
11. Whenever data processing infringes the provisions of the law in force, candidates and students have the right to lodge a complaint with the President of the Office of Personal Data Protection, ul. Stawki 2, 00-193 Warsaw.
12. If personal data are processed subject to a consent, candidates and students have the right to withdraw their consent at any time, which will not affect the lawfulness of the data processing that was carried out subject to the consent given before its withdrawal.
13. Candidates and students’ personal data will neither be processed automatically nor profiled in any way.

In the course of enrolment or studies, any person experiencing difficulties due to a health condition may benefit from the support of the Rector's Representative for Disabled Persons and the Support Centre for Students and Doctoral Students with Disabilities. It is not necessary to have a disability certificate (or equivalent document) in order to receive it, it is enough to have relevant documentation (e.g. an opinion from a pedagogical and psychological counselling centre).
